ACCOUNTING AND GRANTS

ECC Status

Effort and project statements for the Q1 and Q2 periods of FY26 should be completed by April 24, 2026. The pre-review cycle began on January 27th, and the next cycle kicks off tomorrow, February 18th, so if you still have some remaining certifications from previous periods, please prioritize this task.

PAYMENTS AND PROCUREMENT

Invoices in Workday

On a weekly basis, AST shares a report on outstanding invoices needing receipts, approvals, or other actions across the college. This is typically posted Monday afternoon or Tuesday morning to the Microsoft Team’s CAS Finance & Administration and the CAS Grants Workgroup general channels. If you need access to either channel, reach out to teamcas@uw.edu.  

Please take a moment to review the weekly report and identify any actions needed for your department.  Some of these invoices are stuck or need a bit of work coordinating with OSP/GCA.  If you need assistance, please contact Cara Ball at ballc2@uw.edu and she can help. For all other invoices, please follow the receiving job aid to create a receipt in Workday so the invoice can be paid.

HR/Payroll Form Updates

The following HR/Payroll forms and options will receive updates on March 2nd to ask for more information that our team needs to process the following requests: 

  • Hire or Create/Edit Position
    • All options
    • NEW: Edit position option
  • Update or End Employment
    • Add Academic Appointment
    • Reappointment

Please note that updating the Hire or Create/Edit Position form requires us to remove draft submissions, so be sure you submit any drafts prior to March 2nd. For more details about what’s changing, check out the attached summary.

TPS Submission Timelines

Reminder to unit administrators that the Office of Academic Personnel & Faculty Affairs (APF) requests that all Temporary Supplement (TPS) requests be initiated in Workday at least a month in advance of the start of the work being compensated through the TPS request.  

Approvals for TPS requests exceeding 25% of monthly compensation (per EO59) can take 4+ weeks to approve once they are received by APF, so we recommend submitting these requests as early as possible to avoid having to process any future underpayment requests.

Disability Service Office web resources

On February 4, 2026, the Disability Services Office (DSO) unveiled new employee-facing webpages, as well as a new Disability Accommodation Request portal (UW Netid login required) which replaces the former pdf version of the disability accommodation request form. The new web-based content walks employees through the disability accommodation process with instructions on how to request accommodations, and answers questions that commonly arise during this process.

Spring quarter I-9 reminders

We will be offering increased I-9 appointment availability during the first week of spring quarter between March 30 and April 3. Please encourage your incoming spring hires to schedule an I-9 appointment with our team as soon as possible.
