Automatic Promotion and Tenure Clock Waiver

Per the Academic Personnel and Faculty website, please review the following information regarding automatic eligibility for promotion and tenure clock waivers:

Effective immediately, all meritorious faculty cohorts scheduled for mandatory promotion and tenure review in AY 2026-27 through AY 2030-31, who have no more than three previously approved clock waivers, are automatically eligible for a waiver of the 2026-27 academic year. If faculty already have a waiver for the 2025-26 year (e.g., birth of a child, etc.), the federal funding waiver may be applied to the 2026-27 year. Faculty may only have one federal funding waiver applied (either 2025-26 OR 2026-27; not both) again, if all other eligibility requirements are met.

Faculty will have their mandatory review deferred for one year unless they choose to opt-out of the federal funding waiver. Those faculty who chose to opt-out will keep their current end date in effect and go up for mandatory promotion in the last year of their appointment as currently held.

Waivers should be initiated at the appointing unit level by June 30, 2026. Once initiated, waiver requests will follow the standard approval process in Workday, consistent with other automatic clock waivers (e.g., COVID-19 or becoming a parent).

What this means for CAS: Departments need to identify all meritorious faculty in clock-managed titles whose mandatory promotion and tenure review dates are from AY 2026-27 through AY 2030-31 (run R0401 in Workday to identify this population). Departments must reach out to these faculty members and confirm one of the following choices, then enter all waivers into Workday:

  1. Waive AY 2026-27 and defer mandatory promotion review to 2027-28 through 2031-32 (varies by current appointment end date).
  2. No change in date to be considered for mandatory promotion (remain 2026-27 through 2030-31, depending on initial appointment). No action in Workday is necessary.

This is an opt-out policy; if no preference is communicated, the default for department processing is a one-year change to their appointment end date.

For departments using AST’s HR/Payroll services, please submit an Update Academic Appointment request for each faculty member whose end date needs to be extended due to the automatic waiver. Add the following to the “Additional Information” field:

  • Waiver Year: AY 2026-27
  • Waiver Reason: Federal Policy Changes
  • Previously Approved Waivers: [number between 0 and 3] {list the waived years and their reasons (e.g., AY 2020-21: COVID; AY 2023-24: becoming a parent) – see Workday Report R0713}
  • Faculty member is meritorious: Confirmed

Due to the increased volume of work AST receives in the run up to summer quarter, we ask that submissions to AST be made by May 29, 2026, to allow enough time to enter all required waivers.
